JOB TITLE: People & Culture Assistant
Location: Manila
Shift: 7:00 AM – 4:00 PM, Monday to Friday
Arrangement: Onsite, Full Time

About this role…
This role focuses on providing administrative support across all areas of the P&C lifecycle and employee experience. You will perform core P&C administrative tasks and support a range of P&C and company-wide projects.

Experience Required

  • Prior experience in administration or client service roles is highly regarded.
  • Strong interest in building a career in People & Culture and Recruitment.
  • Ability to handle sensitive information with discretion and always maintain confidentiality.
  • Excellent verbal and written communication skills with strong attention to detail.
  • Ability to meet deadlines, manage competing priorities, and work well under pressure.
  • Collaborative approach to working with multiple stakeholders.

Key Responsibilities

Recruitment Lifecycle

  • Post job advertisements on relevant platforms and keep listings up to date.
  • Coordinate and schedule interviews, ensuring a positive candidate experience.
  • Administer psychometric testing as instructed.
  • Maintain recruitment records in ELMO, ensuring accuracy and process integrity.
  • Update internal and external career pages.
  • Assist in distributing monthly newsletters to agency partners.
  • Maintain recruitment dashboards and reporting.

New Starters & Leavers

  • Manage onboarding activities and ensure a smooth pre-induction experience.
  • Prepare letters of offer, employment terms, welcome packs, and seating arrangements.
  • Coordinate IT setup for new starters.
  • Monitor probation processes (e.g., 3- and 6-month checkpoints).
  • Track people data metrics and maintain spreadsheets.
  • Facilitate offboarding procedures, including exit interviews and IT access removal.

P&C Administration & Support

  • Maintain P&C documentation, policies, manuals, and templates.
  • Keep personnel files updated and organised.
  • Manage ELMO HRIS data, ensuring accuracy and supporting cyclical events.
  • Assist in data collation and report generation.
  • Provide administrative support for leadership programs (e.g., MCRP, ELLP).
  • Coordinate staff events and cultural activities (e.g., R U OK? Day, EOFY celebrations).
  • Support the company’s tenure reward program (certificates, gift cards).
  • Administer the CA Program, including records, policies, and finance coordination.
  • Summarise local events and holidays for global team updates.
  • Act as the first point of contact for the People & Culture inbox.

Foundation Responsibilities

Finance

  • Assist with monthly people-related reporting and summaries.

Systems & Operations

  • Contribute to system and procedure improvements in line with best practices.
  • Comply with the organisation’s policies and procedures.
  • Use Microsoft 365 Suite (Word, Excel, Teams, SharePoint), Canva, DocuSign, and iManage for documentation and data management.

ELMO

  • Champion best practices for ELMO system usage.
  • Maintain data hygiene (job changes, reporting lines, terminations).
  • Troubleshoot user access and system navigation issues.
